Email delivery

Why do emails need to be encrypted?

Email encryption ensures that only authorized persons can open and read an email. This is relevant for confidential or business-critical data such as trade secrets, financial documents, etc., but also fulfills legal requirements. The General Data Protection Regulation requires that emails containing personal data must be made inaccessible to third parties – this can be ensured through email encryption.

What is the difference between signed and encrypted emails?

Signed emails contain a digital signature that confirms that the email content originates from the specified sender and has not been tampered with. This is evident to the recipient of your email via a seal, regardless of the email program they use. Encrypted emails are rendered unreadable during transmission, so only the recipient can decrypt, read, and edit them using a certificate or password.

Are attachments I send also encrypted?

Yes. When you send an encrypted email, both the content and any attachments are encrypted. Only the recipient can decrypt, read, and edit them.

Is zertmail. GDPR compliant?

Yes. Article 32 of the General Data Protection Regulation states that IT security measures must ensure that personal data is protected from unauthorized access and encrypted. With email encryption from zertmail, you comply with these guidelines and send personal or confidential data in compliance with GDPR.

Is zertmail. NIS and NIS-2 compliant?

Yes. NIS and NIS-2 are European directives aimed at strengthening the cybersecurity of networks and information systems in the European Union. zertmail supports companies in complying with NIS and NIS-2 by enabling the cryptography (encryption) required by these directives in digital email communications.

Functionality

How can I send signed emails?

By using zertmail, all your outgoing emails are automatically signed—nothing changes for you when writing and sending your emails.

How can I send encrypted emails?

If you want to send an encrypted email that is protected from unauthorized access, you can do so easily by adding the keyword [confidential] in the subject line or by clicking on it with a dedicated Outlook plug-in.

If the recipient also has a digital certificate, decryption will occur automatically without any further steps on your part.

If the recipient does not have a digital certificate, assign them a one-time initial password when you send your first email, which you will then forward to the recipient.

If desired, every email from a mailbox can be automatically sent encrypted.

Can I use zertmail. on my smartphone?

Yes. zertmail. works on virtually all devices, including PCs/laptops, tablets, and smartphones.

Can I also use zertmail. in a web browser?

Yes. With a subscription to zertmail. Basic, you also receive a new Microsoft 365 Exchange Online account. All your emails can therefore be managed via Outlook Webmail and sent securely with zertmail.

Can others see if I send them signed or encrypted emails?

Yes. Signed emails are marked with a seal next to your name for the recipient.

If the recipient has a digital certificate, encrypted emails are decrypted automatically. Without a recipient certificate, the recipient receives a notification email. This email contains a link; the actual email can then be opened after entering a password.

How can recipients open and read an encrypted email?

If the recipient has their own digital certificate, decryption occurs automatically.

If the recipient is already part of the zertmail. or SEPPmail technology network (currently over 10,000 domains, including many public institutions, particularly in the healthcare sector), encryption and decryption also occurs automatically.

Without a recipient certificate, encrypted emails and attachments can be decrypted and read via the web portal integrated into zertmail. or, for Apple iPhone users, via the Viewer by SEPPmail app on their mobile phone by entering the password provided by the sender.
